Booking terms and conditions for venues
Fees and Payment:
Deposit and Acceptance: A non-refundable deposit of £150 per workshop secures your booking. By making this deposit, you agree to these terms and conditions.
Workshop Fees: The workshop fee will be as outlined in the final quote provided by The Creative Quill, unless otherwise agreed upon in writing. This fee includes all materials, equipment, and expert instruction. Travel fees may apply for certain locations and will be disclosed upfront.
Ticket Price: The Ticket price will be as outlined in the final quote provided by The Creative Quill, unless otherwise agreed upon in writing.
Payment Options: The Creative Quill will outline payment options for the remaining balance after the deposit. The chosen option cannot be changed once the deposit is paid.
Payment Schedule: A schedule of payment will be outlined in the quote provided by The Creative Quill. For both payment options, the total workshop fee and the ticket fee (less deposit) is due within 30 days of workshop completion.
Short Notice Booking (4 weeks or less before):
The full workshop fee (option 1) or the full minimum booking ticket fee (option 2) is due immediately in place of the deposit
The remaining ticket fee per attendee is due within 30 days after the event
Sales to Attendees: The Creative Quill reserves the right to sell calligraphy kits and supplies to attendees following the workshop. These sales are separate from this agreement.
Payment Reference: Please include your booking date and invoice number as a payment reference for easy identification.
Availability and Confirmation: Availability and exact activity details are not fully confirmed until a deposit is received and acknowledged. Prices are subject to change until a booking is confirmed.
Ticketing and Promotion:
Ticketing Platform: The Venue is responsible for selling tickets to the workshop through a platform of their choosing.
Customer Information: The Venue agrees to share customer contact information for registered attendees with The Creative Quill solely for workshop communication and post-event marketing, according to our privacy policy.
Final Numbers confirmation: The Venue agrees to confirm the final expected number of attendees with The Creative Quill no later than ten (10) business days before the workshop for material preparation and a smooth experience.
Changes and Cancellations:
All cancellation requests must be submitted in writing to The Creative Quill.
This policy applies to all workshop bookings, regardless of how they are made (directly with The Creative Quill or through the venue's ticketing platform).
Cooling-Off Period: Both venues and customers have a 14-day cooling-off period to cancel a workshop booking and receive a full refund, excluding any processing fees, unless the workshop date falls within this 14-day window.
Venue Cancellation:
With at least one month's written notice, the Venue receives a full refund, excluding the deposit.
Within one month of the event, the full facilitator fee becomes due.
Within 14 working days, the entire facilitator fee and any incurred costs are due.
The Creative Quill Cancellation:
We will make every effort to reschedule or offer alternative arrangements in case of unforeseen logistical issues, staff illness, or compromised health and safety conditions.
Refunds will be provided in these cases, with the exception of Force Majeure events (war, natural disasters, etc.). No compensation will apply
Workshop Changes (Venue Request):
We will try to accommodate changes to location, activity, date, etc., made more than four weeks before the event, for a £20 administration fee.
Changes within four weeks of the event are subject to a minimum £100 charge for administration and logistics.
On the Day:
Venue Responsibilities:
The Venue agrees to meet the setup and room requirements outlined in the final quote.
Notify The Creative Quill if the provided space differs from what's outlined.
Provide a designated parking space near the venue entrance for unloading materials. Failure to do so may result in a delayed start or additional parking fees.
The Creative Quill Responsibilities:
Arrive at least one hour before the workshop start time for set-up.
Take reasonable steps to prevent damage to the venue or equipment. Venues may choose to provide table/floor covers for extra protection.
Photography: The Creative Quill may take photos during the workshop. We will check participant consent before photographing and refrain from taking photos of those who object. Photos may be used in publications, digital media, and on The Creative Quill's social media/website.
Additional Information:
The Creative Quill reserves the right to amend these terms and conditions at any time.
This Agreement constitutes the entire agreement between the parties and supersedes all prior or contemporaneous communications, representations, or agreements.
This Agreement shall be governed by and construed in accordance with the laws of UK.
