Booking terms and conditions for Pointed Pen Parties

  1. Fees and Payment:

    1. Deposit and Acceptance: A non-refundable deposit of £150 secures your booking for a pointed pen party. By making this deposit, you agree to these terms and conditions.

    2. Workshop Fees: The workshop fee will be as outlined in the final quote provided by The Creative Quill, unless otherwise agreed upon in writing. This fee includes all materials, equipment, and expert instruction. Travel fees may apply for certain locations and will be disclosed upfront.

    3. Payment Schedule:

      • Confirming Group Size - Four weeks before your workshop we require a final head count.

      • Final Balance - 10 working days before the event, your remaining balance will be due. This balance will be calculated based on your final head count. Your deposit will be deducted from the total. Your final balance and payment deadline will be confirmed via email.

      • Late Payments - If payment is not received within three days of your payment deadline, we reserve the right to cancel your booking and retain the balance paid up to that point.

    4. Short Notice Booking (4 weeks or less):

      • The full workshop fee is due immediately in place of the deposit

    5. Sales to Attendees: The Creative Quill reserves the right to sell calligraphy kits and supplies to attendees following the workshop. These sales are separate from this agreement.

    6. Payment:

      • Please include your booking date and invoice number as a payment reference for easy identification

      • You, the client, accept responsibility for collecting monies and paying for all members of the group. We can not accept individual payments.

    7. Availability and Confirmation: Availability and exact activity details are not fully confirmed until a deposit is received and acknowledged. Prices are subject to change until a booking is confirmed.

  2. Changes and Cancellations:

    1. All cancellation requests must be submitted in writing to The Creative Quill.

    2. Cooling-Off Period: You have a 14-day cooling-off period to cancel your booking and receive a full refund, excluding any processing fees, unless the party date falls within this 14-day window.

    3. Cancellations/changes by You:

      • Over 30 Days: You can:

        1. Receive a full refund, excluding any deposits or processing fees.

        2. Swap the party date to a different date offered by The Creative Quill, free of charge (subject to availability)

        3. Change the number of participants - a new quote will be issued based on the new participant numbers

      • Between 14 & 30 Days: You can:

        1. Swap the party date to a different date offered by The Creative Quill, a 50% cancellation fee will be charged.

        2. Receive a full refund, excluding any processing fees.

        3. Change the number of participants - £20 administration fee

      • Within 14 Days: Cancellations within 14 days of the party date will result in a charge of 100% of the fee will be charged.

    4. Cancellations by The Creative Quill: We will make every effort to reschedule or offer alternative arrangements in case of unforeseen logistical issues, staff illness, or compromised health and safety conditions. Refunds will be provided in these cases, with the exception of Force Majeure events (war, natural disasters, etc.). No compensation will apply.

  3. On the Day

    1. Your Responsibilities:

      • Provide a space that meets the setup and room requirements outlined in the final quote.

      • Notify The Creative Quill if the provided space differs from what's outlined.

      • Ensure a designated parking space near the venue entrance for unloading materials. Failure to do so may result in a delayed start or additional parking fees.

    2. The Creative Quill's Responsibilities:

      • Arrive at least one hour before the workshop start time for set-up.

      • Take reasonable steps to prevent damage to the venue or equipment.

    3. Photography: The Creative Quill may take photos during the workshop. We will check participant consent before photographing and refrain from taking photos of those who object. Photos may be used in publications, digital media, and on The Creative Quill's social media/website.

  4. Ticketing and Promotion:

    1. Ticketing Platform: The Venue is responsible for selling tickets to the workshop through a platform of their choosing.

    2. Customer Information: The Venue agrees to share customer contact information for registered attendees with The Creative Quill solely for workshop communication and post-event marketing, according to our privacy policy.

    3. Final Numbers confirmation: The Venue agrees to confirm the final number of attendees with The Creative Quill no later than ten (10) business days before the workshop for material preparation and a smooth experience.

  5. Changes and Cancellations:

    1. All cancellation requests must be submitted in writing to The Creative Quill.

    2. Cooling-Off Period: You have a 14-day cooling-off period to cancel your booking and receive a full refund, excluding any processing fees, unless the party date falls within this 14-day window.

    3. Cancellations/changes by You:

      • Over 30 Days: You can choose one of two options:

        1. Receive a full refund, excluding any deposits or processing fees.

        2. Swap the party date to a different date offered by The Creative Quill, free of charge (subject to space availability).

        3. We will try to accommodate changes to location, activity, date, etc., made more than four weeks before the event, for a £20 administration fee.

      • Between 14 & 30 Days: You can

        1. Swap the party date to a different date offered by The Creative Quill with a £100 administration fee

        2. Cancel - you will be charged for 50% of the remaining fee.

        3. Receive a full refund, excluding any processing fees.

        4. Increase the number of participants - £20 administration fee + any additional costs incurred

        5. Decrease the number of participants - £20 administration fee and the cost per head will change to reflect the new total.

        6. Any other changes within four weeks of the event are subject to a minimum £100 charge for administration and logistics.

      • Within 14 Days: Cancellations within 14 days of the party date are non-refundable.

    4. Cancellations by The Creative Quill: We will make every effort to reschedule or offer alternative arrangements in case of unforeseen logistical issues, staff illness, or compromised health and safety conditions. Refunds will be provided in these cases, with the exception of Force Majeure events (war, natural disasters, etc.). No compensation will apply.

  6. Additional Information:

    1. The Creative Quill reserves the right to amend these terms and conditions at any time.

    2. This Agreement constitutes the entire agreement between the parties and supersedes all prior or contemporaneous communications, representations, or agreements.

    3. This Agreement shall be governed by and construed in accordance with the laws of UK.
